Shopify Automation: 12 Tasks Every Store Should Stop Doing by Hand
Twelve practical Shopify automation ideas for orders, inventory, customers and reporting, plus when to use Shopify Flow, Zapier or a custom app.
When a Shopify store starts growing, the manual work grows with it. Orders get copied into spreadsheets, someone checks stock levels every morning, and the same "where is my order?" email gets answered again and again. None of this needs a person. Here are twelve Shopify tasks we recommend automating first, grouped by area.
Orders
- Tag orders automatically. Tag orders by product type, shipping method, country or value so your team can filter and fulfil them faster.
- Hold risky orders for review. When Shopify marks an order as high risk, pause fulfilment and notify the person who checks fraud instead of shipping it by mistake.
- Send orders to your warehouse, ERP or spreadsheet. New orders can sync to your fulfilment partner, accounting software or Google Sheet the moment they are placed.
- Route special orders. Wholesale, pre-order and custom orders can go to the right person or channel automatically.
Inventory and products
- Low-stock alerts. Get a Slack or email alert when a best-seller drops below a threshold, before it sells out.
- Hide sold-out products and show them again on restock. Customers stop landing on products they cannot buy.
- Keep inventory in sync across channels. If you also sell on marketplaces or in a physical shop, stock levels should update everywhere from one source of truth.
Customers
- Tag VIP and repeat customers. Tag customers by total spend or order count so your email flows can treat them differently.
- Ask for reviews at the right time. Send review requests a set number of days after delivery, not after purchase.
- Answer "where is my order?" automatically. An AI assistant connected to your order data can reply with live tracking information at any hour.
Reporting and finance
- Weekly sales report. Sales, refunds, top products and ad spend can land in your inbox every Monday morning without anyone building it.
- Refund and return tracking. Log every refund with its reason so you can see which products cause problems.
Which tool should you use?
- Shopify Flow: Shopify's own automation app, available on most plans. Great for rules inside Shopify, such as tagging orders and customers, hiding products and sending internal alerts.
- Zapier, Make or n8n: good for connecting Shopify to other tools like Google Sheets, Slack or your CRM without code.
- A custom Shopify app or integration: the right choice when you need complex logic, high order volume, a connection to your own system, or when you are paying for several apps and still moving data by hand. Read more in Custom Shopify App vs App Store Apps.
How to start
Write down every task your team does by hand in a normal week and how long each one takes. Start with the task that is repeated most often and causes the most damage when it is late or wrong. Automate that one, measure the time saved, then move to the next.
